GFWC Staff Realignment 

As the important challenges of serving GFWC members have changed, we have found it necessary to reassess how the GFWC professional staff can continue to meet those challenges and exceed your expectations for collaboration and support. With the aim of improving our effectiveness and value to you, we have organized our staff in a new way, and are thrilled to let you know about our improved structure.

First, we have combined GFWC’s core elements—members and programs—into a single, cohesive department that can more readily develop and deliver better support for members. The new Membership and Programs Department will be able to offer expanded services, benefits, and programs, as staff will be able to coordinate and share goals. We welcome Michelle Marcoot to GFWC as our new Senior Director of Membership to lead this department and coordinate GFWC’s membership recruitment, retention, program, and outreach efforts.

Similarly, the new Public Affairs Department combines three functions that were previously independent: Communications & Public Relations, Publications, and Public Policy. By putting these areas under the umbrella of public affairs, we are better able to strategize GFWC’s objectives and deliver a more polished and cohesive message. This department is led by the Senior Director of Public Affairs.

The GFWC Executive Committee and other leaders were integral to this realignment and, with their support and guidance, GFWC’s professional staff can continue to assist clubwomen in advancing the mission of the Federation.

Update on xCatalyst

xCatalyst, GFWC's new member database, is already proving successful in its first deployment. We enabled member profiles to launch online registration for the 2009 Convention, and have been encouraged by the response. The system seems to be user friendly and the questions we've encountered have helped us refine the database to make it even more useful. We anticipate a global launch at the end of June, with member education and promotional outreach encouraging all members to log in and be counted! And, as a member of the Board of Directors, you can expect to receive additional information and training at the August 2009 GFWC Board of Directors Meeting in Lexington, Ky.

GFWC Stationery Online

For your convenience , we have made GFWC's stationery available online. You can use this file to create and print letters and memoranda on the official letterhead for GFWC leaders. Please note that this file has been altered to be compatible with standard printers, and the left-margin color blocking will not print as a full bleed, as it does on our professionally printed stationery. Pre-Convention Board of Directors Meeting

You should have received your Call to the Pre-Convention Board of Directors Meeting via e-mail on Tuesday, and as a reminder, the registration deadline to attend is May 26

For those members who have a vote by virtue of their position on the Board of Directors, you will receive an e-mail later this week providing you with the proposed FY2010 budget for your review prior to the meeting. In addition, all members of the Board of Directors will be sent an e-mail with links to much of the materials that will be included in the Board packet so that you have time prior to the meeting to review this information.

If you are not attending this meeting of the Board of Directors, please note that you will not be sent a Board packet, but you will be able to view the full Board packet online following the meeting.

We have received several inquiries from Board members regarding the need for GFWC to charge a registration fee if a meal is not included in the meeting. The $15 registration fee is intended to help offset the production costs associated with the Board meeting, such as printing, supplies, audiovisual needs, and shipping. We do have money budgeted for Board meeting production expenses, but we also have a line item for Board meeting income as well. When we charge a “package” fee, this fee includes an “administrative/production” fee that is usually between $10-$25 depending upon the location, length of meeting, agenda topics, and speakers.

Preview of August 2009 Board of Directors Meeting in Lexington, Ky.

The 2009 Board of Directors Meeting will take place August 27-30, 2009,in Lexington, Kentucky, at the Griffin Gate Marriott Resort & Spa. While we know that you are coming to work hard, also expect some fun events to take place that will give you a great taste of what Lexington has to offer—it is, after all, also called the Birthplace of Bourbon! View a preliminary agenda, and keep a lookout for the official Call to the Board of Directors Meeting.

Headquarters Staff Updates

As many of you have learned, Debbe Gladstone has resigned her position as membership services director at GFWC. Her last day was scheduled to be Thursday, April 23; however, due to a family emergency, she left GFWC on Monday, April 20. Debbe joined GFWC in 1994 as the Federation’s first membership director. During her time with us, she has made significant contributions—too many to count—and helped create some of GFWC’s most successful programs, including the Leadership, Education, and Development Seminar (LEADS) program and GFWC Mentors. In addition to providing invaluable service, guidance, and support to literally tens of thousands of members around the world Debbe’s greatest contribution to GFWC (and what our members’ have most valued) has been her connection to and understanding of GFWC members’ needs.The staff, leadership, and members of GFWC will miss Debbe, but we know that you join in wishing her the best. As of Tuesday, April 21, membership services issues will be handled by the Senior Director of Membership and Programs Michelle Marcoot, and we will keep you posted on developments in our search for a new membership services director. Please note that Ardie Hollifield has resigned her position as GFWC Public Policy Director; her last day was Friday, April 24. Although Ardie has been with GFWC for just over a year, her work here has been significant. She has helped move our advocacy efforts forward, especially in her work to secure recognition for GFWC and its members on the pay equity issue. Her knowledge of emerging public policy issues has been highly valued by GFWC’s chairmen, committee members, clubwomen, and program partners. Ardie has joined the Pew Charitable Trusts as a senior associate working on their safe banking project. Although we are sad to lose her as a staff member, we are proud that she is joining such a prestigious organization and plan to stay in touch with her.

Michelle Marcoot
GFWC is thrilled to welcome Michelle Marcoot as our senior director of membership and programs. In this position, Michelle will oversee the services, programs, and volunteer opportunities GFWC provides to members, and we are excited to add new strength in this important area.

Michelle comes to GFWC from the Grocery Manufacturers Association, which represents the world’s leading food, beverage, and consumer products companies. While at GMA, Michelle was responsible for the development and oversight of supply chain activities, including serving as staff liaison to the member committees, helping to lead the committees toward more efficient processes and practices. Prior to her tenure at GMA, Michelle served as the senior director of member services in the strategy and operations practice at Corporate Executive Board. She was responsible for the engagement strategy and account management for more than 300 corporate vice presidents of research and development at 3,000 global companies.
 
Michelle holds a bachelor’s degree in international affairs and Russian language and literature from The George Washington University. Her interests and hobbies include volunteering at the Washington Humane Society, learning to play golf, hiking, and yoga.

Finance and Administration Update

GFWC’s Finance and Administration Department was revamped in October 2008 with the addition of Senior Director of Finance and Administration Irina Zabello. The entire department has made it a priority to strengthen GFWC’s administrative and finance operations, including overseeing the budgets and accounts for GFWC. The accounting staff has transitioned to using QuickBooks accounting software, the industry standard. Ongoing training for all staff is in place to educate everyone on proper coding of income and expenses, and allocation principles.

After handling a significant amount of financial data backlog, first and second quarter financial reports were presented and reviewed by the Executive Committee.

Cost savings and improved processes have also been priorities, with policies updated and communicated to evaluate ways of not just saving money but of improving member services, with several large and small measures in place. For example, all computer equipment, including servers and other IT systems, were accessed, evaluated, and inventoried. This gives us a complete picture of our technology assets and requirements, and enables better management of staff and IT resources.

Membership and Programs Update

GFWC welcomed Michelle Marcoot on May 4 as our new senior director of membership and programs. Michelle will lead the new combined department and coordinate GFWC’s membership recruitment, retention, program, and outreach efforts. Now that Michelle is on board, her initial work includes recruiting for the following open positions: program director; outreach coordinator; and membership director. In addition, the Membership and Programs Department is busy putting the final touches on the programming and speakers for the 2009 Convention and planning a walk weekend on June 6-7, 2009, as part of GFWC’s involvement in the Dupont Kalorama Museum Consortium. Public Affairs Update

You will notice a new look on GFWC's collateral materials as we move forward with a redesign for all printed publications. This new design has already been used for the new WHRC brochure, WHRC rack card, and GFWC Federation Day Guide. The new GFWC brochure and mini trifold will be unveiled at Convention.The Public Affairs Department is also spearheading a special format for the August + September 2009 issue of GFWC Clubwoman Magazine, which will bring subscribers new tools and resources for fulfilling the GFWC mission in their communities. If you are not yet receiving this magazine, there's never been a better time to subscribe—you definitely don't want to miss our upcoming special issues! This summer the Public Affairs Department will continue a comprehensive communications audit of all GFWC materials. We welcome your feedback and suggestions as we work to make these marketing and program resources more vibrant, attractive, and useful for clubwomen.
