REIMBURSEMENT—FOR THOSE WHO RECEIVE REIMBURSEMENT DUE TO THEIR GFWC POSITION
Please refer to the 2010-2012 Desk Allowance and Expense Reimbursement information to determine which receipts and information to send for any reimbursement for this meeting.
To be reimbursed you must submit a GFWC Board Member Expense Report (included in your meeting materials) within 30 days following this meeting. Expense reports received at GFWC Headquarters after September 30, 2010, will not be processed. Send expense reports to:

For those who are reimbursed for any travel expenses, reimbursement will be based on the cost of your roundtrip airfare/transportation between your home city and one of the three Washington, D.C.-area airports (DCA, BWI, or IAD). Travel to and from the airport from your home will be reimbursed if it exceeds 25 miles each way, and roundtrip transportation between the airport and the Doubletree Hotel Washington, D.C.–Crystal City will also be reimbursed if traveling from BWI or IAD. If arriving at DCA, attendees are expected to use the complimentary hotel shuttle.
Please note that Ronald Reagan National Airport (DCA), located within one mile of the hotel, is the closest airport to the Doubletree Hotel Washington, D.C.-Crystal City. Attendees are expected to use DCA for their travel plans, unless the airfare cost to use BWI or IAD is significant. Roundtrip transportation costs (using SuperShuttle) are approximately $100 from BWI and approximately $60 from IAD. If you are traveling from BWI or IAD, our expectation is that you will use SuperShuttle. SuperShuttle tickets can be purchased in advance at www.SuperShuttle.com or by calling 1-800-BLUE-VAN (258-3826). Ground transportation via taxi cabs is significantly more expensive.
If you choose to drive to the Board of Dorectors meeting, you will be imbursed at $0.25 per mile up to the cost of a roundtrip airline ticket between your home city and Arlington, Virginia. The Doubletree Hotel Washington, D.C.-Crystal City offers onsite parking for a fee of $22 per day with in and out privileges.
Save all receipts, odometer readings, and your passenger travel receipts/boarding cards in order to be reimbursed by GFWC. Please note: GFWC will not reimburse members for tickets that are redeemed using frequent flyer miles.

All meeting participants are responsible for making their own travel reservations to and from the Arlington, Virginia, as well as securing their own hotel reservations at the Doubletree Hotel Washington, D.C.–Crystal City. Reservations must be made by August 11, 2010, in order to secure the group rate of $129 night (double occupancy, plus applicable taxes).

The Doubletree Hotel Washington DC-Crystal City is located across the Potomac River from our nation’s capital in beautiful Arlington, Virginia, and is just minutes away from Ronald Reagan National Airport (DCA). This full service hotel is within walking distance to the Pentagon, Fashion Centre Mall at Pentagon City, and the Pentagon City Metro stop (yellow and blue lines).
Onsite there is a fitness room and health club, as well as a concierge desk, gift shop, and business center. There is also a newly-renovated indoor swimming pool that features gorgeous views of Washington, D.C. For dining options there is Café Express, which offers quick, light meals for breakfast, lunch, or dinner; Skydome Lounge, the area’s only revolving roof top lounge with the best view of Washington, D.C.; Café Restaurant, a casual bistro that is open for breakfast and lunch; and Windows Over Washington, open only for dinner, which offers contemporary American cuisine alongside the most spectacular views of Washington, D.C.
TRAVEL INFORMATION
The closest airport to the Doubletree Hotel Washington, D.C.–Crystal City is Ronald Reagan National Airport (DCA). Non-stop flights are offered to 72 destinations. When you arrive, you can catch the complimentary hotel shuttle outside of terminals A, B, or C. Look for a white van with the Doubletree symbol (two trees) on the side. The shuttle arrives every 15-30 minutes.
Special Note
Passengers are advised to check in two hours prior to their flight. More time may be required during the peak travel times–morning and evening–with the larger airlines. Passengers are also advised to consult with their airline regarding how much time may be required to check-in and proceed through security prior to their flight’s departure time.
Amtrak
There is an Amtrak stop at Union Station in Washington, D.C. From there, you can take Metro to the Pentagon City Metro stop and then catch the complimentary shuttle to the Doubletree Hotel Washington, D.C.–Crystal City. The shuttle stops outside of the Ritz Carlton Hotel entrance every 15-30 minutes. Look for a white van with the Doubletree symbol (two trees) on the side. Taxis are also available from Union Station.
OPTIONAL SPECIAL EVENTS
First Ladies Tour | Thursday, August 26, 2010, 9:00 a.m. to 4:30 p.m. Ticket Price: $70
This unique tour will take you around Washington, D.C., to visit areas that highlight Washington’s well-known women. Stops will include a visit to the FDR Memorial to see the statue of First Lady (and GFWC clubwoman) Eleanor Roosevelt; “The First Ladies at the Smithsonian” Exhibit at the National Museum of American History, which showcases 24 dresses and more than 100 other unique artifacts; and the Woodrow Wilson House with a tour focusing on First Lady Edith Wilson. Transportation, lunch voucher, and all admission fees are included.
Dinner and Candlelight Tour of George Washington’s Mount Vernon Estate and Gardens | Saturday, August 28, 2010, 6:00 p.m. | Ticket Price: $110
Join us for an evening discovering the home of our nation’s first President. We’ll start with dinner at the historic Cedar Knoll Inn, located on a hill top overlooking the Potomac River. Following dinner, we will tour the Mount Vernon Estate and Gardens, a national historic landmark. Special guests General and Mrs. George Washington will be joining in the evening’s festivities.
